Secure Form Help

What happens to my information?

Secure Woven Self forms are designed so full form contents are encrypted before they leave the browser.

Before you send

Your browser checks the form and encrypts the full contents using the current PracticeManager public key. If your browser cannot use the required encryption features, the form will not send and you will be asked to use a current browser or a non-urgent contact route.

What the website stores

The website stores only an encrypted envelope and safe routing metadata such as submission ID, form type, key ID, receipt time, and expiry time. It must not store names, contact details, therapy notes, health context, address details, emergency contact details, or signatures in plaintext.

How Vicki receives it

Vicki opens PracticeManager on the authorised computer to fetch, decrypt, and import submissions locally. After a successful import is acknowledged, the website deletes the encrypted payload material.

Email notifications

Notification emails only say that a secure submission is waiting. They do not include names, contact details, message text, health information, safeguarding information, addresses, emergency contact details, or signatures.

Forms are not monitored continuously and are not for urgent support.

If you need immediate help, call 999, contact Samaritans on 116 123, text SHOUT to 85258, contact NHS 111, or attend Accident & Emergency.
